, ,We seek a resourceful self-starter who can flexibly handle multiple projects simultaneously. Strong candidates for this position will have a knowledge of or interest in sustainable agriculture and food systems and be enthusiastic about RAFI's mission. The Operations Coordinator is responsible for maintaining RAFI’s technology, building, and grounds and providing general administrative support to the organization.
Job Responsibilities
Technology
-
Serve as administrator for organizational online accounts; manage the organization’s password management system.

Create and maintain a system for managing emails in the vault and admin email accounts.

Create email accounts for new staff, manage vault and admin email accounts
-
Ensure that Google Drive is well-organized and that staff know where files should go.

Coordinate and manage technology necessary for remote and hybrid work arrangements.

Maintain a list of technology assets, coordinate staff use of IT systems and equipment, and serve as primary contact for tech-related vendors and services to meet staff needs.

Ensure that all staff have the necessary equipment and software to complete their jobs. Check in with staff regularly to ensure this.

Regularly work on data cleaning in Salesforce, including deduplication, adding more info, etc.
Administrative Support

Organize and maintain up-to-date contact lists, including vendor contacts, staff roster, and board roster.

Arrange and coordinate travel, meeting space, and meal functions for any RAFI event, RAFI Board meeting, or for certain RAFI program work as requested, and provide needed logistical support.

Respond to general inquiries and voicemails on RAFI’s main phone line and route calls and inquiries to the relevant parties.

Assist with general administrative tasks including preparing expense reports and drafting and/or formatting documents.

Manage the AMEX Travel credit card and the admin credit card

Provide HR support for hiring, orientation, and offboarding processes.
Building & Grounds Maintenance

Responds to and manages DPC building rental requests.

Manage incoming mail and respond to other general office needs, including ordering and maintaining supplies for office, programs, and staff, considering cost and need. Makes bank deposits on mail days.

Manage supply storage areas and maintain a general inventory of items in storage.

Maintain cleanliness and appearance of building and grounds, including conference spaces and common areas. Arrange maintenance and repairs as needed, and serve as primary contact for vendors including cleaning services, lawncare, pest control, water delivery, HVAC services, document shredding services, and printer/copier services.

Coordinate fire inspection and ensure fire safety/compliance and regular maintenance of fire extinguishers.

Compensation: Part-time, approximately 20 hours per week. The ideal candidate will be able to work approximately 4-5 hours 5 days a week during RAFI business hours (9-5 Eastern). Hourly rate of $34.48. Part-time employees can participate in RAFI’s 401(k) program and paid holidays.
Location: Triangle region of North Carolina. Position is expected to spend 1-2 days in our Pittsboro office weekly.
